White Silver Hakuba Booking Terms and Conditions

The use of ‘Lodge’ and ‘White Silver Hakuba’ in this document refers to Management of White Silver Hakuba and duly appointed staff of White Silver Hakuba.

The use of “You” and “Your” in this document refers to the person identified on the registration form of each room of the property, White Silver Hakuba.


Check-in time is 2pm. Reception closes at 7pm. Please ensure you notify reception if you will be arriving after 7pm so arrangements can be made for your arrival. If your arrival is before 2pm time you are most welcome to leave your bags at reception. Where your room is available and ready the lodge will provide you access to your room before 2pm, this is at the discretion of the lodge. No check-ins are available without valid photo identification (passport or drivers licence) and a valid credit card for any incidentals, including loss or damage to the lodge – refer to Terms of Use for more information. If you are unable to provide such identification and credit card deposit details your booking may be cancelled and any pre-payment you have made in relation to the booking will be forfeited to the White Silver Hakuba under this term. Upon arrival, you will be required to complete and sign a registration form.


Check-out time is 10am. If your departure is after this time you are most welcome to leave your bags at reception. Later check-out times may be available subject to bookings and are at the discretion of management. Any requests for later check-out times must be discussed and confirmed with the lodge prior to your departure date.

Payment Information

Payment in full via credit card is required at the time of making your booking. A reservation will not be confirmed until full payment is received.


For cancellations made within 7 days of deposit all monies will be returned. For cancellations made 61 days or more prior to check-in 70% of total booking price will be refunded. For cancellations made within 60 days or less prior to check-in or ‘no shows’ all monies paid will be forfeited.  

We reserve the right to cancel your booking in any circumstances but if we cancel your booking, except where this is because you have not paid any outstanding balance, you can have a full refund.

Other than in the case of non-payment, we will not cancel your booking less than 30 days before your arrival date, unless this is the result of an event that is out of our control, such as war, threat of war, riots, civil disturbances, terrorist activity, industrial disputes, natural and nuclear disasters, fire, epidemics, health risks, hurricanes and other actual or potential severe weather conditions, and any other similar events.

 The White Silver Hakuba strongly recommends that at the time of booking you purchase comprehensive travel insurance to cover items including but not limited to: loss of booking, loss or theft of personal items, and medical expenses


Your personal details will not be disclosed to a third party by the lodge unless there is a reasonable concern for your well-being or reasonable suspicion of threat to your health and safety. Your credit card details will not be disclosed to a third party unless there is a provision of law requiring disclosure and the requesting person is identified as a duly appointed authority.

Terms of Use

Where unforeseen circumstances prevail, the White Silver Hakuba reserves the right to allocate your booking to a room of similar type of equal style and tariff without issuing a refund.

Any additional goods or services (i.e. beverages, breakfast upgrades etc) used during your stay at the White Silver Hakuba will be charged to your automatically pre-authorised room tab. Your room tab is payable on Check Out. The White Silver reserves the right to charge any outstanding tabs to the Credit Card provided on Check-In.


The White Silver Hakuba reserves the right to debit your credit card or request payment in full for any outstanding charges that apply to your booking. This includes but is not limited to, additional unpaid guests, extended stays, late check-outs that have not been negotiated with and agreed to by the White Silver Hakuba, lost keys, in-house room charges, loss and damage to property.

Pets are not permitted to stay on the property. Failure to comply will result in an additional ¥20000 cleaning fee.

All accommodation and internal public areas of the White Silver Hakuba are non-smoking. Failure to comply will result in an additional ¥20000 cleaning fee.

The maximum number of guests to a room are limited to the room guests identified on the booking form. Additional children under the age of two years of age can be accommodated over and above the specified room guests for each room. Where no additional bedding requirements for children exists no additional charges will be applied. Cots and bedding can be provided at an additional cost of ¥1000 per cot per night. Guests must notify the lodge of this requirement at the time of booking.

Where additional unpaid guests are found the booking may be cancelled and you may be asked to vacate the property if payment for the additional guest is not forthcoming. Additional payment fee is at the discretion of the lodge.

Extended stays are at the discretion of the lodge and subject to room availability and payment of the required room rate. Where an extended stay is granted guests may be required to change rooms depending on prior bookings.

Late check-outs not previously negotiated and agreed to by the lodge will incur an additional cost. In the event a guest occupies the room beyond the check-out time without agreement of the lodge, extra charges shall be paid, as follows:
• up to 3 hours: 25% of the room charge
• up to 6 hours: 50% of the room charge
• more than 6 hours: 100% of the room charge
If necessary, the lodge will remove any personal items from the room and store them at reception.

A key replacement fee of ¥2000 will be charged in the event the room key issued at check-in is not returned to reception on departure.

The guest shall be responsible at all times for any loss or damage to the White Silver Hakuba, which has been caused by the guest, or the guests’ invitees. Loss or damage includes extra cleaning and excess rubbish removal.

During occupancy of your room and whilst on lodge premises you agree that you and all members of your party will not: Make excessive noise, Leave the room in a disorderly state or such state as will cause distress to the cleaners, Use any electrical appliance, other than those supplied or approved by the White Silver Hakuba, in particular electrical water heaters, cooking devices, any equipment greater than 15kWh or that the kilowatts stated on any particular socket, smoke in any room or on the premises except in designated smoking areas, park a car or other vehicle otherwise than as agreed by the lodge or cause obstruction around the lodge, interfere with other guests, their property or their enjoyment at the lodge and comply with health and safety and fire regulations displayed in the lodge.



The guest shall pay the amount (if any) for such loss or damage caused to the lodge within seven (7) days of receiving notification of such an amount from the White Silver Hakuba.

Guests are responsible for the safety and safe-keeping of personal items and valuables kept in their room or left in common areas of the lodge.


Agreement to Terms and Conditions and Terms of Use

Making a booking with the White Silver Hakuba signifies you accept the Terms and Conditions and Terms of Use specified above.

The White Silver Hakuba Terms and Conditions and Terms of Use may be subject to change by the White Silver Hakuba.
